Kiama Municipal Council, located on the South Coast of Australia, provides a wide range of services, from traditional government services to holiday parks and aged care facilities. However, the council faced a significant challenge as very few of their service-related processes were mapped, leading to numerous inefficiencies. The council decided to implement Nintex Promapp®, a BPM tool, across the organization. The implementation process was smooth and straightforward, involving sessions with the executive, the senior leadership group, and information sessions for all staff. The council also trained early adopters to become certified Nintex Promapp trainers. The tool helped the council map their processes and identify inefficiencies. The council also involved customers in the process review for services like the admission process in the aged care facility, providing valuable insights and helping to create an 'outside-in' service design. The council tackled initial skepticism among staff by demonstrating the benefits of process mapping and giving staff a sense of ownership over their processes.

The implementation of Nintex Promapp® has led to a new culture of improvement within the Kiama Municipal Council. The council has seen improved efficiencies, saving both time and money. The staff and leadership are now more engaged in process improvement, and there is a greater insight into the customer journey. The council has also gained a clearer view of what is really happening within the organization. The initial skepticism among staff was overcome as they saw the inefficiencies in the mapped processes and realized the value of process mapping. The staff now have a sense of ownership over their processes, and the council has found value in involving customers in the process review, leading to an 'outside-in' service design.
In the first 12 months of using Nintex Promapp, the council mapped over 200 processes and saw significant efficiency improvements.
The council saved the equivalent of one full-time employee in terms of non-value-adding steps.
The total processing time for the registration of new suppliers (approximately 600 per year) was cut by about four hours each, saving about 200 hours.
