The company was facing a challenge in its health and safety reporting process, which was largely reactive and relied on paper reports that often didn't reach the head office in a timely manner. The company wanted to shift from this reactive approach to a proactive one that would prevent accidents and improve the overall safety of its operations.

To address this challenge, Axis Group implemented the ReportLine service, a system that allows any staff member to report an accident or near miss at any time of the day, 365 days a year, either by dialing a number or using an online 'near miss report' form. This system was designed to be simple and direct, eliminating the bureaucratic and time-consuming processes that may have deterred staff from reporting near misses in the past. The ReportLine team, trained in line with the Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013 (RIDDOR), gathers information on the incident and sends it to Axis management for investigation. In case of incidents needing to follow RIDDOR regulations, the Axis Group Health and Safety Manager is consulted to ensure proper reporting to the Health and Safety Executive.

The company has been able to maintain its services even during the pandemic, demonstrating the resilience and effectiveness of the new system. The use of the ReportLine service in conjunction with the Info Exchange software platform provides Axis Group with easy-to-read, tangible information for trend analysis. This data is converted into management bulletins and used in team briefings, enabling the company to take a holistic view of their health and safety reporting processes and identify trends and areas for improvement.
