KPS4Parents, a nonprofit child and family advocacy organization, was grappling with the challenge of managing the extensive documentation involved in the Individualized Educational Program (IEP) for special needs students. The process was document-intensive, with a single case generating over 1,000 records from various stakeholders including parents, attorneys, educators, and regulatory investigators. The traditional methods of sharing these documents, such as faxing, emailing, or delivering hard copies, were not only cumbersome but also unsecured. The shift towards digital uploads of evidence by administrative hearing offices and courts further complicated the situation. Many parents were overwhelmed by the sea of documentation and the multitude of ways those documents were shared. The challenge was to find a secure, user-friendly platform that could handle the volume of documents and facilitate easy sharing among all stakeholders.

KPS4Parents adopted Egnyte, a secure file sharing platform, to modernize their document management process. The platform was chosen for its robust security model, scalability, and ease of use. With Egnyte, a new client folder is created for each case, with parental access to the child’s folder and sub-folders. The local school district can upload files to a secure folder without accessing the rest of the child’s records. KPS4Parents reviews the information and creates a report outlining the child’s IEP. Records are then shared as needed with expert assessors, attorneys, state and federal regulators, or other enforcement officials. Folder and file permissions can be easily revoked when users no longer need access to the data. The platform ensures that education records, protected under the Family Educational Rights and Privacy Act (FERPA) and sometimes the Health Insurance Portability and Accountability Act (HIPAA), remain secure.

The adoption of Egnyte has streamlined the processes for parents and stakeholders involved in KPS4Parents' cases. The platform has received praise for its user-friendly nature and secure communication capabilities. Parents now have 24/7 access to their children's records and can add new records to their children's files as soon as they become available. They can also retrieve and share records with doctors and specialists during appointments using the Egnyte app on their devices. The speed of communication and the efficiency with which KPS4Parents' cases can be processed have significantly improved. The organization plans to leverage Egnyte for secure document storage in a new app they are developing to help parents better advocate for themselves.
