The Solidarity and Social Investment Fund (FOSIS), a government agency in Chile, was facing several challenges in its process management approach for civil services. The staff did not follow a process-based management approach, leading to a lack of visibility, difficulty in following up on tasks, issues with interdepartmental communication, inaccessible information due to data silos, lack of standardization across multiple processes, delays in resolution times, processing errors, and citizen dissatisfaction with some of the public services provided. FOSIS decided to implement AuraQuantic, a BPMS, after analyzing the technical specifications, value for money, and various software analysis reports. The implementation of the platform was quick and easy, allowing FOSIS staff to start using it immediately after its configuration. The institution established a work plan setting out the short, medium, and long-term objectives to be addressed by the AuraQuantic platform. These included documenting current processes, identifying opportunities for improvement, developing a BPMS implementation plan, training staff in the use of the BPMS, automating processes, increasing the number of automated processes, continuously improving the running processes, and centralizing all data on AuraQuantic by integrating the platform with other systems. To date, FOSIS has implemented processes such as document management, citizen attention system, register of suppliers, contract management, and internal support processes.
