Anker Logistica, an international logistics service provider, was facing a significant challenge in its pricing coordination department. The company's process of creating quotes for customers and price inquiries to freight forwarders was manual and time-consuming. Each request required data to be copied from a PDF file and pasted into an email, a process that was repeated up to 150 times per day. This resulted in a significant loss of time and created a bottleneck in the company's operations. Furthermore, if the transport request to Anker took too long, customer orders were automatically cancelled. The company evaluated several software products to make the process more efficient, but none seemed to be able to solve the problem.

Anker Logistica is an international logistics service provider with its headquarters in Bogotá. The company has offices across Colombia as well as in Panama, Mexico, Guatemala, and Costa Rica. It employs approximately 100 people who continuously communicate with customers and freight companies to secure the best deals. The company's sales department receives customer requests, transfers the data to freight software, and creates a PDF file with all relevant information. This file is then sent to the pricing coordination department, where employees negotiate the best conditions with overseas freight forwarders. The company operates in a fast-paced industry where inquiries are expected to be answered with a quote within 24 hours.

Anker Logistica decided to implement DocuWare Cloud in spring 2023 to automate its processes. Now, all employees in sales and price coordination work with DocuWare. The sales department still transfers the data of a freight request to the Cargowise software used at Anker, but it immediately stores the PDF files generated from it in a folder monitored by DocuWare. During archiving, the DMS reads and validates all the information contained in the documents. If information is missing, DocuWare informs the sales department. Once everything is complete, the DMS automatically sends the price inquiries to the freight forwarders selected by the price coordination team and inserts the relevant data into the email text in the usual structure – without any manual copying and pasting.
